Privacy policy

1. Introduction

The new General Data Protection Regulation (GDPR) will apply from 25th May 2018 and adds dramatically to the Data Protection Law
This law provides a new approach to data protection that:
Expands the rights of individuals to control how their personal data is collected and shared; and,
Places a range of new obligations on organisations to be more accountable for data protection, such as storage and use of personal data.

S.P.A. Singles Social Group (S.P.A.) are committed in accordance with the legal requirements of the new May 2018, General Data Protection Regulation (GDPR) to protecting our members’ privacy. To meet the requirements of this law it is essential that:

S.P.A collects any information required for membership to meet the new legal obligations; and,
Members understand how any personal data will be used and stored by S.P.A. Singles Social Group.

Every Member of S.P.A. by law must receive this “Privacy Notice.” The Privacy Notice explains to members of S.P.A. Singles Social Group their data protection rights and how S.P.A. intends to function as an Association in accordance with this law.

Members are requested to read this Privacy Notice and ask for clarification on any issue they do not understand and then sign the new Membership and GDPR Consent Form. This is now a legal requirement for membership of the S.P.A. Singles Social Group.

2. How S.P.A. uses your personal information

As a matter of principle, S.P.A. collects & discloses as little personal data as possible to allow it to function.

S.P.A. may process, transfer and/or share personal information in the following ways:

For performance of our contract with you as a not-for- profit organisation providing a forum for active single people to meet, socialise and establish a wider circle of friends.
To record information about you, such as name, address and contact details, on a register of members to a) maintain a record of members; and b) keep in contact with members.

2a. With your consent

To maintain our relationship with you including marketing, such as for maintaining our Events Book, production of the Newsletter, for advertising and the website (only with your consent)

2b Sharing your personal information

We will disclose information outside S.P.A only:

to any authorities if compelled to do so by law;

to fraud prevention agencies to help prevent crime or where we suspect fraud;

to any persons, including, but not limited to, insurers, who either provide a service or benefits to you or for us in connection with your membership, such as for tours, holidays, coach trips;

To our suppliers for them to provide services to us and/or to you on our behalf (E.g. For Events/Activities, Diary, Newsletter, restaurants providing a service, arranging accommodation, tours, signing up for an event).

To anyone in connection with a reorganisation or merger of S.P.A.’s business

Officers of S.P.A, Committee Members and other Members of S.P.A

We may show photographs of you on the S.P.A. Website and/or in the Newsletter (only with your consent)

2c. Where we send your information

S.P.A. does not directly send information to any country outside of the European Economic Area, however, any party receiving personal data may also process, transfer and share it for the purposes set out above and in limited circumstances this may involve sending your information to countries where data protection laws do not provide the same level of data protection as the UK. E.g. Holidays not in Europe.

3. Retaining your information

S.P.A. will hold store your data as a member on a secure data base and some records on paper.

S.P.A. will need to hold your information for as long as you are a member and in accordance with this regulation for a maximum of up to six years after you have ceased to be a member. It will then be shredded.

4. Your Rights Under GDPR

4a. The right to access
Personal data and details for the purposes of the processing, the categories of personal data concerned and the recipients of the personal data. Providing the rights and freedoms of others are not affected, we will supply to you a copy of your personal data

4b. The right to rectification
That is, the right to have your personal data corrected, if it is inaccurate and to have incomplete data completed.

4c. The right to erasure of your personal data without undue delay in some circumstances which include:
the personal data is no longer needed for the purpose it was originally processed
you withdraw consent you previously provided to process the information
you object to the processing under certain rules of data protection law
the processing is for marketing purposes
the personal data was unlawfully processed

However, you may not erase this data where we need it to meet a legal obligation or where it necessary for the establishment, exercise or defence of legal claims.

4d. The right to restrict processing of your personal data in some circumstances which include:

you contest the accuracy of the personal data;
processing is unlawful, but you oppose erasure;
we no longer need the personal data for the purposes of our processing, but you require personal data for the establishment, exercise or defence of legal claims; and,
you have objected to processing, pending the verification of that objection. Where processing has been restricted on this basis, we may continue to store your personal data.

S.P.A. will only otherwise process it:
with your consent;
for the establishment, exercise or defence of legal claims; or
for the protection of the rights of another natural or legal person;

4e. The right to object to processing

You have a right to object to us processing your personal data only if it causes unwarranted and substantial damage or distress. If it does, you have the right to require us to stop (or not to begin) the processing in question and we will do so whilst we assess your objection.

You have the right to object to our processing of your personal data for direct marketing purposes (including profiling for direct marketing purposes). If you make such an objection, we will cease to process your personal data for this purpose.

4f. The right to data portability

To the extent that the legal basis for our processing of your personal data is either:
consent; or
that the processing is necessary for the performance of our contract with you

You have the right to receive your personal data from us either in a commonly used and machine-readable format or instruct us to send this data to another organisation. This right does not apply where it would adversely affect the rights and freedoms of others.

4g. Right to withdraw consent

To the extent that the legal basis for our processing of your personal information is your consent, you have the right to withdraw that consent at any time. Withdrawal will not affect the lawfulness of processing before the withdrawal.

4h. The right to complain to the Information Commissioner’s Office

If you consider that our processing of your personal information infringes data protection laws, you have a legal right to lodge a complaint with the Information Commissioner’s Office which is responsible for data protection in the UK. You can contact them by:
